How do I standardize repeat work without losing flexibility?

Build a checklist catalog in Hub web, use a copy on each work order in web or iOS, and configure a separate shop-wide quality-control checklist for the final checks.

Example: Your shop wants a repeatable pre-sale service process, with a photo of the finished work and room for steps specific to each bike.

  1. Build your checklist catalog in Hub web

Create a named template, arrange its steps and mark any steps that require a photo. Use templates for work your team repeats, such as bike builds, pre-sale service or packing a bike for shipping.

  2. Add the checklist to a work order

Apply the template in Hub web or the iOS app. The work order gets its own copy. Later catalog changes apply to future work rather than rewriting the steps already on an existing work order.

  3. Record the work and add bike-specific steps

Complete steps, add notes and attach the required photos as the work progresses. Add a one-off step for this bike without changing the catalog. The record stays with the work order for the next technician.

  4. Use the shop’s separate final quality checks

Configure the shared Quality Checklist in Hub web. Have the technician perform and record the applicable final checks before marking the bike ready for pickup. Work-order steps document the job; quality control documents the final checks. Neither replaces the inspection findings sent with the estimate.

What your shop gets: Your shop keeps its standard process and each bike’s exceptions in the same work-order record, with shared final checks for customer handoff.

Make repeat work repeatable.

Build templates for the work you do often, from a new bike build to packing a bike for shipping. Set the order of the steps and the details your team needs to record.

Keep the record with the work order.

Tick off steps, add notes and attach photos. See who completed a step and when. Need something extra for this bike? Add a step to this work order without changing the catalog.

Need a photo? Make it part of the step.

Mark a template step as photo-required in Hub web. The tech adds the photo before marking that step complete, on the web or in the iOS app.

The final checks, your way.

Set your shop’s quality-control checklist in Hub web. Give every tech the same final checks to confirm before marking a bike ready for pickup.

The work-order checklist records the work along the way. Quality control covers the final checks. Inspection results go with the estimate so the customer understands why the service is recommended.

Questions from the service bench

Where do we build our checklist catalog?

Manage templates in Hub web. Name the checklist, put the steps in order, choose steps that require a photo and add details such as a serial number or ship date.

Can technicians use checklists in the iOS app?

Yes. Add a template to a work order on Hub web or in the iOS app. Record steps, photos and notes with that work order. Catalog management stays in Hub web.

Does changing a template change existing work orders?

No. A work order gets its own copy. Update the catalog for future work, or add a one-off step to the work order in front of you.

Is the quality-control checklist the same as an inspection?

No. Inspection findings explain the recommended work and go to the customer with the estimate. Work-order checklists track the steps of the work. The separate shop quality-control checklist defines the final checks before pickup.

Keep the whole work order together.
